WorkspacePilot – AI Google Workspace Assistant WorkspacePilot is an AI-powered automation built with **n8n** that transforms Google Workspace into a smart administrative assistant for growing businesses. It reduces the time spent on repetitive tasks such as email triage, meeting scheduling, invoice filing, and follow-up management. The workflow begins by monitoring incoming Gmail messages. An AI classifier analyzes each email and routes it through a Switch node into one of four branches: **Invoice, Meeting, Follow-up, or General**. Invoice emails automatically download and store attachments

I built an AI chatbot for a dental clinic that handles patient qualification and appointment booking end-to-end through a website chat widget. The goal was to reduce manual back-and-forth for front-desk staff by automatically collecting patient details, qualifying the enquiry, checking availability, and confirming bookings in real time. The workflow is built in n8n and is structured into four main parts: session memory, AI decision-making, calendar orchestration, and logging. A webhook receives each chat message, then the workflow looks up the patient’s existing session in Google Sheets so th

I built a two-workflow appointment automation system using n8n, Google Calendar, PostgreSQL (Supabase), and Green API (WhatsApp) to ensure patients only receive reminders for valid appointments. Workflow 1 is an AI-powered booking assistant that manages appointment booking, rescheduling, and cancellations through WhatsApp. It checks for existing appointments, synchronizes every change with Google Calendar, and updates the PostgreSQL database so the calendar and database always remain in sync. Workflow 2 is a scheduled reminder service that periodically checks the database for upcoming appoin

I built an AI-powered CRM lead follow-up system using n8n, HubSpot, OpenAI, Gmail, and Google Sheets. When a new lead enters HubSpot, the workflow generates and sends personalized outreach, monitors for replies, and automatically sends follow-ups when needed. If a lead responds, the sequence stops and AI creates a contextual Gmail draft for human review. Google Sheets tracks each lead's journey, including emails sent, replies, follow-up stages, timestamps, and draft creation—helping businesses prevent valuable leads from falling through the cracks.

I built an intelligent receipt validation and expense processing workflow that automates how companies receive, verify, and record employee expense receipts submitted through WhatsApp. The workflow uses WSAPI (WhatsApp), n8n, Qwen Vision, Google Drive, Google Sheets, JavaScript, and Structured Output Parsing. When a driver submits a receipt, the image is automatically downloaded, archived in Google Drive, analyzed by an AI financial auditor, and validated against business rules. The AI extracts key receipt details, evaluates image quality, classifies the expense, and determines whether the re

I built an AI-powered lead qualification and outbound automation system for Rayvora Solar using n8n, OpenAI (Qwen), MapTiler Geocoding, Google Sheets, Gmail, and Telegram. My approach was to automate the entire lead handling process from the moment a prospect submits the website quote form. The workflow begins with a webhook that captures and normalizes the lead data. MapTiler then enriches the submission by validating the address and returning structured location data. This enriched profile is passed to an AI agent, which evaluates the lead, assigns a qualification status, lead score, priori

I built an AI-powered voice receptionist for DentalCare , a Dental Clinic that can handle patient calls, answer questions, qualify new and existing patients, check appointment availability, and book appointments automatically. The system uses Vapi for the voice interface and n8n as the automation backend. When a patient requests an appointment, the AI collects the required details including their name, phone number, email, appointment type, preferred date and time, then sends the request to n8n through a webhook. The workflow normalizes and validates the incoming data, checks Google Calendar

Built CareBridge : Healthcare Request Intelligence & Intake, an AI-powered workflow that standardizes healthcare advisory requests from two different channels: a public website form and an internal Fillout form. The website captures client details, their healthcare challenge, desired outcome, urgency, and preferred contact method. The internal Fillout form allows CareBridge staff to manually log requests received through channels such as email or phone, including internal notes and a request title. Both triggers feed into n8n, where a normalization step converts the different payloads into o

I built an AI outreach and prospect research agent in n8n with a strict human-in-the-loop gate before anything sends. Flow: A scheduled trigger pulls prospects marked "New" from an Airtable base. Each one loops through Apollo.io's Organization Enrichment API to pull real data — industry, funding stage, employee count, tech stack, and a company description. I trim this down to only the signal that matters (not the full raw payload) before passing it to an AI Agent running with a Groq model, which drafts a short, personalized first-touch message referencing one specific detail from the research

For this challenge, I built an end-to-end automation that connects intake forms, AI classification, departmental routing, task management, Slack notifications, and approval tracking. My approach was to first capture incoming requests through a webhook and normalize the data. Groq AI then analyzes each request, summarizes it, identifies the appropriate department (Sales, Support, or Operations), determines urgency, and flags requests that require approval. Using n8n, the request is automatically routed to the correct department. Airtable serves as the central task tracker, while Slack deliver

I built two connected n8n workflows that automate a supplier's quote-request handling, from inbox to draft to confirmed send. Workflow 1 watches Gmail on a schedule for emails tagged "quote-requests" (auto-applied by a native Gmail filter rule based on keyword matching). An AI Agent reads the email , plus any PDF or image order sheet attached, handled via separate extraction/vision branches classifies whether it's genuinely a quote request, and extracts entity name, contact, itemized quantities, and deadline into structured JSON. That gets logged as a new Airtable record, a draft reply is cre

I built a cross-platform automation system for Goodlife Wellness to solve three operational problems: user onboarding, data synchronization, and social media publishing. The first workflow handles new signups from the Goodlife Wellness website. Each signup is sent through a secure webhook into n8n, stored in Supabase, and automatically created as a contact in Brevo. Adding the contact to the right list triggers a two-email welcome sequence. I also added a Brevo event webhook so updates or unsubscribes are synced back to Supabase, keeping the records accurate beyond the initial signup. The se

This workflow turns daily job-board scrolling into a short, scored Slack shortlist for a freelance agency. Every morning at 8 AM, n8n pulls the We Work Remotely RSS feed, parses the XML, and cleans each posting (company, title, job type, region, trimmed description). It keeps only jobs from the last 26 hours, removes any already processed in earlier runs, and drops obvious mismatches like sales or recruiting roles. Each remaining job is sent to OpenAI alongside an editable agency profile describing the services we offer: AI automation, web and app design, branding and digital marketing. A st

Mutiee Bakes WhatsApp ordering assistant: turns messy free-text orders into confirmed, logged orders. How it works: a WSAPI webhook receives each message and filters out self-replies, groups and duplicates. An OpenAI agent extracts items, flavour, quantity, date, time and name, and checks a Pinecone Assistant knowledge base (menu, naira prices, policies) so it never invents facts. Key design choice: AI understands, code decides. A validation node checks menu, flavours, minimums, delivery area and fee, two-day notice and Sundays, then calculates the total. Missing or unclear details get one s

I built a patient review management system for a dental clinic using four connected n8n workflows. **How it works:** **1. Patient Follow-up:** When an appointment is marked as completed in GoHighLevel, n8n checks Google Sheets for duplicates, logs the patient, waits, and sends an email with five clickable star ratings. **2. Rating & Routing:** Patients select a rating, which n8n validates and logs. Ratings of 4–5 stars redirect to Google Reviews, while ratings of 1–3 stars trigger a Slack alert for the manager and redirect patients to a private feedback form. **3. Private Feedback:** Patie
