AI-driven CRM follow-up sequences

I built an AI CRM Lead Nurturing Assistant for a real estate business using n8n, HubSpot, Gmail, AI, and Airtable. The workflow starts automatically when a new contact is created in HubSpot through a webhook connected to a HubSpot Private App. It generates personalized follow-up emails, sends them automatically, and continues with scheduled follow-ups if there is no response. For the demo, I shortened the wait times to a few seconds, but in a real-world scenario they would be spaced over several days. I also built a Reply Monitor that detects incoming replies, stops the nurture sequence, updates HubSpot, notifies the sales team, and logs every activity in Airtable. This helps ensure no lead is forgotten, no interested customer is over-contacted, and the sales team always has a clear record of every interaction.

For supported enquiries, the AI identifies the requested document (such as a proposal, pricing guide, capability deck, or company profile), generates a professional personalized email reply, searches Google Drive for the correct file, attaches it automatically, and creates a Gmail draft for final human review—never auto-sending emails. For unsupported enquiries, the workflow automatically notifies the consultant by email and sends a Slack alert, ensuring requests requiring manual attention are reviewed promptly. The workflow also includes intelligent routing logic so only relevant enquiries continue through the document generation process, while unsupported requests are immediately escalated for human intervention. This project demonstrates how AI and workflow automation can reduce repetitive administrative tasks, improve response times, eliminate manual document retrieval, and provide a scalable, human-in-the-loop solution that maintains accuracy and quality in customer communications.

AI chatbot for lead qualification and booking

I built an AI chatbot for a dental clinic that handles patient qualification and appointment booking end-to-end through a website chat widget. The goal was to reduce manual back-and-forth for front-desk staff by automatically collecting patient details, qualifying the enquiry, checking availability, and confirming bookings in real time. The workflow is built in n8n and is structured into four main parts: session memory, AI decision-making, calendar orchestration, and logging. A webhook receives each chat message, then the workflow looks up the patient’s existing session in Google Sheets so the assistant can remember prior details like patient type, service needed, urgency, preferred day/time, and booking progress across multiple turns. An AI agent then classifies the message and returns structured outputs such as visit reason, booking readiness, selected service, preferred slot, and next action. Based on that output, the workflow routes the conversation to the correct path — answering questions, asking follow-ups, checking Google Calendar for availability, or creating a booking event. Once a booking is confirmed, the workflow updates the session log, writes a separate lead-booking record, and sends a confirmation email to the patient automatically.

Lead capture form to AI summary

I built an AI-powered lead management automation for a fitness studio. When someone submits a class trial signup form, the workflow automatically captures their information, uses AI to generate a one-line summary of their fitness goals and any preferred class or time, logs the lead into a Google Sheet for the front desk and sends an email notification with the lead details and AI summary. This eliminates the need for staff to manually review every signup and enables faster, more informed follow-up with prospective clients.

Do I need to know the tools already?+
